Color is a helpful coding tool for me. What is the best way to use color in a filing system?
If you are a visual person, a color-coded filing system is a great way to go. The trick is to figure out how to assign colors to categories. Because manila folders are only available in eight colors, this can be tricky. The best thing to do is to determine your categories first, and assign colors second. That way you can adjust your number of categories to fit the available colors, and possibly assign sub-categories that have the same color.
Try to pick colors that remind you of the subjects--that will help you learn the system more quickly. For example, you could make medical files blue, thinking of Blue Cross. So anything related to medical including insurance would be blue. Red could be personal, thinking of the heart, which would include family or divorce papers, household papers, wills, education, certifications and anything else you want to think of as personal. Green could be assigned for financial, thinking of greenbacks.
There is also a fantastic filing system out there that is already color coded called “File Solutions”. Storables sells it. Visit their website to see the filing system at: http://www.storables.com/shopping.cfm?ProductID=284&Category1=office&category2=file&do=detail.
Next question: Where do I keep my coupons?
