This web link: http://www.i-am-bored.com/bored_link.cfm?link_id=7240 takes you to an animation that is an excellent example of procrastination. It shows that we can avoid starting any project or task with a small interruption such as a drop of spilled coffee on a desk. Instead of quickly wiping off the drop from the desk, the whole desk is washed. Although this is a humorous attempt at procrastination, procrastination affects the majority of the public at some time. I wanted to blog this to my readers as an example of what not to do when we are finding a task too daunting to work on. There are a variety of reasons behind procrastination. To overcome it we must push forward and set up some kind of schedule. If you have a hard time sticking to that schedule it either means your schedule is unrealistic, or that you need a coach or buddy. The coach or buddy will help you stay focused. If you can’t find a buddy or hire a coach write down all of the tasks due for that week and prioritize them. Choose the task that is most important first, leaving the less important tasks until later. However, make sure the tasks that are less important are done as well. To insure this, put all of your priorities into your PDA, pocket pc, or daily planner. For each task make an appointment for yourself. Make sure to set a time limit for how long you will work on that one particular task. For example, if you are working on a presentation think of how long a previous presentation took you to prepare. If think it took 4 hours to create, then allow yourself 5 hours. It is always better to allot more time, than not enough. Avoid doing personal errands during business hours. Take it one day at a time, one task at a time.

A tickler system is a set of folders assigned to days of the week. To use it, you decide what day to do a task and put it into the number pocket that correlates with the date. It's called a ticker system because it helps you organize your tasks daily. I love the tickler system. It is an accordion enclosed file that has 31 pockets to manage your daily tasks.

It organizes your time and day in the following ways:
Whatever tasks you have to do get put into the day you chose to do them by.
If you have a deadline you can put it in a few days a head of time. For example, if you have a paper due on the 6th of January, you can put it in your tickler file in pocket number 2 to get started on the paper early.
It helps organize your time because you have to plan out what day to do what task.
you actually have a place to put all of the papers/projects you are currently working on.

I found this particular tickler file is great for a few reasons:
1. I have rarely seen an attractive tickler file for you desk and this one actually is.
2. It goes on your desk top, a great reminder to look in your tickler file.
3. It has a drawer for extra office supplies that correlate to your paper, such as sticky notes and staples.

Continuing in our series of answering common questions from Personworks clients, today we address: where should I put my coupons?

Where should my coupons go?

Coupons are always found after the fact. Sometimes you are lucky and the restaurant will still honor the coupon, but most the time this does not happen. How do you store your coupons without losing them only to find them when they have expired? There are a couple of ways to organize them
Put them into your tickler file under the month they expire. Be sure to put a reminder in your calendar or planner that you have a coupon. For example, if you have 10% off an oil change and you know you need to get an oil change in October, put the coupon in October. Set up an appointment date to get the oil change and add a reminder to bring the coupon.
Purchase a hand held size tickler system and organize your coupons by the expiration date. Again, put the event in your calendar. This is a great thing to carry around. If you are male and don’t have a bag to put it in, leave it in your glove box. For us gals, it may be too big for our purses, so do the same as the men, put it in your glove box
If you only have a few coupons, put them in your wallet and still make an appointment with yourself to use them. Because most of us don’t use paper planners today, we can paper clip them into our planners that is why you will need to send yourself a reminder. Color is a helpful coding tool for me. What is the best way to use color in a filing system?

If you are a visual person, a color-coded filing system is a great way to go. The trick is to figure out how to assign colors to categories. Because manila folders are only available in eight colors, this can be tricky. The best thing to do is to determine your categories first, and assign colors second. That way you can adjust your number of categories to fit the available colors, and possibly assign sub-categories that have the same color.
Try to pick colors that remind you of the subjects--that will help you learn the system more quickly. For example, you could make medical files blue, thinking of Blue Cross. So anything related to medical including insurance would be blue. Red could be personal, thinking of the heart, which would include family or divorce papers, household papers, wills, education, certifications and anything else you want to think of as personal. Green could be assigned for financial, thinking of greenbacks.
